Summary

The Executive Coordinator contributes to the impact of Texas 2036 by applying their highly developed organizational skills and service orientation to manage the administrative, operational, and organizational support functions of the Texas 2036 Austin office. The Executive Coordinator is the primary administrative support for the President and CEO and may provide administrative support to other Texas 2036 leaders. In addition, the Executive Coordinator works with colleagues across the organization to support office, development, and financial operations and will plan and execute events and fulfill other responsibilities.

Responsibilities

The Executive Coordinator’s responsibilities include, but are not limited to, the following. 

Executive Support 

  • Manage the President and CEO’s schedule, making appointments and travel arrangements, organizing meetings/conference calls, and anticipating next steps. 
  • Ensure the President and CEO is prepared for all meetings and events including preparing background briefings and attendee lists/biographies, coordinating the preparation of remarks and presentations, and providing the President and CEO with meeting materials/decision points 
  • Coordinate follow up on the President and CEO’s internal and external meetings by assisting with drafting materials. When needed, participate directly in meetings and follow up with the relevant parties. 
  • Manage and track the President and CEO expenses to ensure timely reimbursements
  • Provide similar administrative support for other members of the senior team on a more limited basis or as needed.

Office Operations 

  • Provide a strong, positive impression of the organization to those contacting Texas 2036 by phone, email, or in person visit
  • Collaborate on office operations tasks including handling incoming/outgoing mail, ordering and stocking supplies, receiving and coordinating deliveries, catering, running errands, coordinating repairs/work with building management, etc.
  • Track office expenses and assist in credit card reconciliation
  • Assist in the development, and execution of office operations and procedures 

Organizational Support 

  • Participate actively in the planning and execution of events hosted by the organization, including coordinating schedules and appointments, researching and booking spaces/locations, managing caterers and other vendors.
  • Contribute to the success of the organization by completing other tasks as assigned.

  • Excellent time management skills and ability to multitask and prioritize responsibilities
  • Exceptional attention to detail and well-developed problem-solving skills
  • Excellent written and verbal communication skills 
  • Strong organizational and planning skills 
  • Experience providing administrative and logistical support to senior leaders
  • Professional competency with email, calendaring, Microsoft Office suite, etc.; Experience and comfort using GSuite applications and Apple computer products highly- preferred
  • Proficiency in using various types of office technology including computers, copiers/scanners, phone systems, audio/visual presentation systems, etc. 
  • Experience assisting with office management functions including answering the phone, receiving visitors, processing invoices, maintaining supply levels, etc. 
  • Experience coordinating events including booking venues, coordinating catering and other vendors, managing RSVPs, etc.
  • A high degree of discretion and ability to maintain confidentiality 

Compensation and Benefits 

Compensation is commensurate with experience. Location

The Executive Coordinator position will be based in Texas 2036’s Austin office. This is a hybrid role and the Executive Coordinator will be expected to be present in the Austin office during the work day three days a week on average.  Additional office days may be required, as needed to support Texas 2036 operations for events, meetings, etc. The Executive Coordinator must be able to travel (up to 10% of the time) to cities across Texas for meetings with various stakeholders, including board members, advisors, stakeholders, partners, and Texas 2036 colleagues.
